Privacy Policy

Scout Event (“Scout Event,” “we,” “us,” or “our”) is a planner for Scouts BSA youth leaders. This Privacy Policy explains what information we collect when you use the Scout Event website and application (the “Service”), how we use it, and the choices you have. By using the Service you agree to the practices described below.

1. Information we collect

We collect the following categories of information:

  • Account information— your name, email address, troop number, and the role you select (Scout, youth leader, Scoutmaster, parent volunteer).
  • Content you create— events, meal plans, gear lists, rosters, comments, and any other content you contribute to the Service.
  • Usage data— pages viewed, features used, approximate device type, browser, and timestamps. We use this to keep the Service working and to improve it.
  • Communications— messages you send to us for support or feedback.

We do not knowingly collect more information than we need to run the Service. We do not sell personal information.

2. How we use information

  • To provide and operate the Service.
  • To let troop members collaborate on events and share content with the people you choose.
  • To send transactional messages (account confirmations, approval requests, password resets).
  • To debug, secure, and improve the Service, including preventing abuse.
  • To comply with legal obligations.

3. Information from young Scouts

Scout Event is designed to be used by Scouts under adult supervision. If you are under 13, please use the Service only with the involvement of a parent, guardian, or registered Scoutmaster. We collect the minimum information needed to make the planning tools work and we do not show advertising. If you believe a child has provided personal information without appropriate consent, contact us using the address below and we will remove it.

4. Sharing

We share information only as needed to run the Service:

  • With your troop. Content you put into a shared event (rosters, gear lists, approvals) is visible to the other members of that event.
  • Service providers. We use vendors for hosting, database, email, and analytics. They process data under contract and only to provide their service to us.
  • Legal. We may disclose information when required by law or to protect the safety of users.
  • Business transfers. If Scout Event is acquired or merged, information may transfer subject to this policy.

5. Third-party services

The Service includes optional integrations with third-party platforms (for example, BAND by Naver Corporation). When you choose to connect a third-party account, that third party's own privacy policy governs the data they collect. We are not responsible for the privacy practices of those platforms. BAND and the BAND logo are trademarks of Naver Corporation and Scout Event is not affiliated with, endorsed by, or sponsored by BAND or Naver Corporation.

6. Security

We use industry-standard safeguards (encryption in transit, access controls, audit logging) to protect your information. No system is perfectly secure, so we cannot guarantee absolute security. If we learn of a breach that affects you we will notify you as required by law.

7. Retention

We keep account and content data while your account is active. When you delete your account, we remove your personal information within a reasonable period, except where we are required to retain it for legal, accounting, or safety reasons.

8. Your choices

  • You can view and edit your profile information from your account settings.
  • You can request a copy of your data or ask us to delete it by emailing the address below.
  • You can opt out of non-essential email by following the unsubscribe link in any message.

9. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes we will post the updated policy here and update the “Effective” date. Continued use of the Service after the change takes effect means you accept the updated policy.
